In Timbre you can use tags to easily manage artwork, sync episodes to podcasts with matching tags as well as automatically apply retention periods. This article will provide guidance on how to use and manage tags.

Adding and Using Tags for Artwork

In Timbre you can add tags to artwork by navigating to your Artwork gallery. You can do this from anywhere in Timbre by selecting the artwork icon in the navigation modal on the left of your screen or clicking on edit on your selected artwork.



In the editing modal, you are able to change the name of the artwork as well as create a new tag or apply an existing tag to your selected artwork. When you are done adding tags, click Submit to update the tags for your artwork. 



In order to use multiple tags for an artwork, you can select tags in sequence if they are existing tags. 

When adding new tags, enter the text for the tag and hit enter before continuing to the next tag. It is suggested that you do not use special characters in tags apart from "-" and "_" to seperate words in order to comply with syndicatory requirements.



Managing Tags

You are able to manage existing tags and the episodes associated with tags by navigating to Preferences and heading to Other Settings. Here you will find "Manage Tags". Clicking on Manage Tags will expand the list and provide you with a tabular view of all your tags.



How to Manage My Tags



Name

Here you can input the name of the tag you wish to manage. This will actively filter the list of tags to only show tags matching the text in the input field.


Filter by usage


This field allows you to filter your tags by what they are associated with. 


Show AllNo filters applied. This option allows you to see all your tags across Timbre
UnusedTags that are not in use.
UsedTags that are in use.
FeedsTags that are associated with a podcast.
ItemsTags that are associated with an episode.
ArtworkTags that are associated with artwork.


Tags Table

In the table, you will find all of the tags that are associated with your organisation. Here you will be able to see the name of the tags, the date it was created, and also what the tag is used for (podcasts, episodes, artwork, etc).


The Admin Only field will allow you to restrict the use of a tag to users with admin privileges. 


Under the Actions header, you are able to delete tags. 


You are also able to mass delete tags by selecting the checkbox to the left of the Name field in the table. This will highlight all tags shown on the table. You can then hit the delete button next to Reload Data in order to delete the selection.


By using the filters you can delete all tags that are used, unused, associated with artwork, etc. You are also able to refine the tags list by name.



Applying Retention Periods with Tags

To help manage your Timbre storage you can set up a retention period. A retention period indicates how long a storage asset should be retained before being deleted. This automatic deletion process will remove old or outdated Episodes/Storage assets based on your preferences. In Timbre you are also able to use tags to apply retention periods to new episodes. Head to Other Settings where you can find Manage Storage/Episode. 


This is a permanent removal process that cannot be reverted.



Click +New Retention to bring up the Retention Period modal and add a new retention period with selected tags.



Your new retention period can be set to only apply to the tags you associate with the retention period. This will apply the retention period settings to the episodes to which you have applied this tag. These tagged episodes will then be removed according to the retention period set.
